**Tuition Schedule**: the installment calendar: first and last month of the school year and the monthly due day.  
**School Branding**: your school's name, logo, colors and signatories.

## Your school's data stays your school's

## Questions

### Can we try Skwela on our own first?

No. Each school gets its own Skwela, set up by a person. Request a demo and we will walk you through it with sample data, then talk about setting up yours.

### How much does Skwela cost?

Skwela is priced per school, depending on your size and what you need set up. We do not publish one price for every school. Request a demo and we will give you a quote.

### Can we bring our existing records?

Yes. Students, guardians, enrollments, fee structures, other fees and operating expenses import from spreadsheets. Records that already exist are skipped, never overwritten.

### Does Skwela print Form 137 and other DepEd forms?

Yes. Form 137 (SF10) in its Elementary, Junior High and Senior High variants. Skwela also prints Certificates of Enrollment, Good Moral Certificates, Clearance Forms, receipts and the Statement of Account.

### Is there a parent portal or parent app?

Yes, the Family Portal. It opens in the phone's browser with nothing to install, and parents can add it to their home screen to use it like an app.

### Can parents pay tuition through GCash?

Yes. A parent pays by GCash, Maya or bank transfer and sends the proof of payment from the Family Portal. The cashier approves it, the payment posts, and a receipt number is issued. Cash at the window is recorded by the cashier the same way.

### Is our data shared with other schools?

No. Each school runs on its own Skwela with its own database.

## Student Record

Everything your staff need about one student, on one page.

**Enrollment**: the student's placement for one School year: year level, section, type and status.  
**LRN**: the DepEd Learner Reference Number, printed on every document the school issues.  
**Statement**: one School year's fees, payments and discounts in a single card.  
**Release**: sharing one quarter's grades with every family at once.

## Guardian Record

The adults responsible for each student, and how they reach the Family Portal.

**Guardian**: any adult responsible for a student: a parent, grandparent, aunt or other guardian.  
**Primary contact**: the Guardian the school reaches first.  
**Portal access**: whether a Guardian can sign in to the Family Portal, and the Invite that grants it.

## Data Migration

Bring your existing spreadsheets: your records arrive through Imports, and nothing is overwritten.

**Migration**: a set of Imports run in the right order.  
**Template**: a blank spreadsheet with the exact columns, plus a filled example.  
**Report**: a file of every skipped or failed row and the reason, ready to fix and re-import.

## Staff Payments

How the cashier records money at the window and approves payments families send online.

**Allocation**: how one payment is spread across a student's fees.  
**Split**: part of a fee paid by one method, such as cash, GCash or bank transfer.  
**Receipt number**: the RCPT- number issued the moment a payment is recorded.  
**Payment proof**: a family's screenshot or reference for money sent by e-wallet or bank.

## School Books

The school's own money for a school year: what came in, what went out, and what is still owed.

**Collected**: money the school actually received, other fees included.  
**Billed**: what students are charged, after approved discounts.  
**Paid**: the part of Billed that families have settled.  
**Uncollected**: what families still owe; Billed = Paid + Uncollected.  
**Ledger**: every peso in and out, one entry at a time.

**Installment**: one month's portion of tuition, normally June to March.  
**Pay now**: paying by e-wallet or bank and sending the Payment proof from the phone.  
**Released**: a quarter's grades the school has shared with families.

## Who we are

Skwela makes school management software for Philippine schools. Built in Cebu, Philippines. This policy covers this website. Each school's own Skwela has its own privacy notice, issued by that school.

## What we collect

Only what you type into the Request a demo form:

- your full name and your role at the school
- the school's name and its number of students (as a range)
- your email address, your mobile number, or both
- the message you choose to add, if any
- the date and time you sent it, and a one-way hash of your internet address, used only to stop repeated automated requests

## Why we collect it

To reply to your demo request, arrange a demo, and talk with you about setting up Skwela for your school. We do not sell it, share it for advertising, or add you to a mailing list.

We process it on the basis of your consent, which you give by ticking the consent box on the form. You can withdraw it at any time (see Your rights).

## Who handles it for us

Your demo request is stored in our database and sent to us by email. The companies that host this website, the database and the email service process it only on our instructions, to run those services.

Nothing you send here reaches any school's Skwela. This website shares no database and no logins with any school.

## How long we keep it

We keep a demo request for as long as we are talking with you, and delete it 2 years after our last exchange unless your school becomes a Skwela customer. If you ask us to delete it sooner, we will.

## Your rights

Under the Data Privacy Act of 2012 (RA 10173), you have the right to:

- be informed about how your personal data is processed
- access the personal data we hold about you
- object to its processing and withdraw your consent
- have it corrected if it is wrong or incomplete
- have it erased or blocked
- receive a copy in a portable format
- be indemnified for damages caused by inaccurate, unlawfully obtained or unauthorised use of your personal data
- file a complaint with the National Privacy Commission (privacy.gov.ph)

## How we protect it

Demo requests travel over encrypted connections and are readable only by the people who reply to them. The form is protected against automated submissions.
