Ask Skwela

Ask Skwela: ask your school's records a question, in plain words

An assistant inside Skwela for the school office. Type a question the way you would ask a colleague, and get the figure, the record behind it, and a link to check it.

What each office asks

Each office gets answers from the records it already works with, and nothing more.

  • Skwela for Registrar

    • How many Grade 7 students are enrolled this school year?
    • What documents is Juan dela Cruz still missing?
    • How do I enroll a student in a new school year?
  • Skwela for Cashier / Accounting

    • Which families should we call this week?
    • What did we collect last month?
    • Which payment proofs are waiting for review?
  • Skwela for Teachers

    • What are Ana Reyes's grades this quarter?
    • What events are coming up?
    • How do I enter a student's grades?
  • Skwela for School Heads

    • Is our tuition reasonable for what we spend?
    • Inflation is 5.8%. How much should we raise Grade 7 tuition?
    • Which months this school year did we spend more than we collected?

Assistant

Staff ask about the school's own records in plain words, and get answers they can check.

  • Staff ask in plain words and Ask Skwela answers from the school's own records: students, enrollments, grades, documents, guardians, teachers and subjects.
  • It reads only what the person asking could already open, and it has no way to change a record.
  • Every figure in an answer comes from a lookup in the school's records, never from the assistant's own arithmetic, with a link to the page that shows it.
  • Each staff member's conversations are kept for them alone; not even an administrator can read them.
  • It explains where things are in Skwela and how to do them, from a guide checked against the screens themselves.
  • For the school's heads, it reads the school year's finances beside the year before: collection rate, spending per student, and how far fees cover spending, each with the figures behind it.
  • Asked how much to raise tuition, it sets the options side by side (no change, the inflation rate you give it, and the increase that would cover spending) and leaves the choice to the school.
  • Give it another school's yearly tuition and size, or a fee you are considering, and it shows the gap and how that tuition compares with what your school spends per student.
  • It lists the families most behind on fees, aged by their oldest unpaid due date, so a family paying its monthly installments on time is never counted as late.
  • It shows money in and out month by month for a school year, adding up to the School Books, with the tuition installments falling due each month.
  • It answers what is coming up by date, how many places are left at an event, and how many people have read an announcement.
Ask Skwela
The assistant's name on every Skwela screen, opened from the button at the bottom right.
Question
What a staff member types, in their own words.
Answer
Figures from the school's records, each with a link to the page that shows it.
Adviser
Ask Skwela answering a question about the school's finances, comparing the school only with itself.
Reference figure
A number only the person asking can give, such as an inflation rate or another school's tuition.
Worklist
The accounts most behind on fees, latest due first.

What it will not do

  • It never shows a record the person asking cannot open on their own screens; a lookup they are not allowed is not even offered to it.
  • It never changes, adds or deletes anything: there is no tool that writes.
  • It never supplies an inflation rate or another school's tuition from memory; it uses only the figures you give it.
  • It never chooses a fee for the school; it lays out the options and the decision stays with the school.
  • Families do not see it: Ask Skwela is for Admin, Registrar, Cashier and Teacher staff.

Questions schools ask

What is Ask Skwela?

Ask Skwela is the assistant built into Skwela, the school management system. School staff type a question in plain words, such as how many students are enrolled or which families are behind on fees, and it answers from the school's own records with a link to the page each figure came from.

Can Ask Skwela see records a staff member cannot?

No. It reads only what the person asking could already open themselves. A teacher asking about grades sees only the students that teacher can see, and a lookup a role is not allowed is never offered to it.

Does Ask Skwela change any records?

No. It only reads. It cannot enroll a student, record a payment or change a grade; those stay on their own screens.

Can parents or students use Ask Skwela?

No. Ask Skwela is for school staff. Families use the Family Portal to see their balance, pay, and check released grades.

Can Ask Skwela tell us how much to raise tuition?

It shows the options side by side: no change, matching the inflation rate you give it, a little above it, and the increase that would cover the school's spending, each with what it would bill and collect. It does not pick one; that decision stays with the school.

Does Ask Skwela know other schools' tuition or the inflation rate?

No. It never looks these up or guesses them. Give it another school's yearly tuition and size, or the inflation rate you are working with, and it compares them with your own records.

Where does Ask Skwela send our data?

To write an answer, Ask Skwela sends the question and the records it looked up for that question to the AI model that writes the reply. A school's records stay in its own database and are never shared with another school.

Each page walks through one office's screens, with sample data, in the words that office already uses. Start with the window that has the longest line in June.
